Camera Ready Paper Submission

Please ensure the following steps are completed for submitting the camera-ready paper and completing the registration.

Prepare Your Camera-Ready Manuscript

  • The authors will have to submit a camera-ready version as per the guidelines on or before 10th August 2026 to avail the Early Bird Registration fee.
  • Important: Please ensure that plagiarism of your manuscript is less than 20% (including references, and not more than 3% similarity from any single source and AI Plage should be zero before submitting the camera-ready paper to confirm inclusion in IEEE Xplore.
  • The camera-ready paper must strictly follow the IEEE Conference template:

  • Authors are encouraged to limit the final camera-ready paper to 6 pages; additional page charges will apply for each extra page as per the conference registration fee policy.
  • Authors are requested to ensure that the total number of authors does not exceed six (6) before submitting the camera-ready paper.
  • Using the IEEE template involves more than simply adopting a double-column layout and limiting the manuscript to six pages. It also requires strict adherence to detailed formatting guidelines, including line spacing, font size, table and figure presentation, and reference styling, all of which must be carefully followed.
  • The camera-ready paper does not meet the above requirements may result in exclusion of the paper from the conference presentation schedule, proceedings, and publication process.

Author Registration & Copyright Clearance

  • At least one author must register as per the registration category and present the paper at ICAESIS 2026 for it to be considered for IEEE Xplore publication.
  • Each registration is valid for one participant only.
  • The final manuscript must include the copyright clearance code notice at the bottom of the first page.
  • Copyright Notice Placement: Replace the dummy code in the template with the official IEEE copyright code provided by the organizers. This code must appear at the bottom left of the first page of your paper.
  • Copyright Details: Copyright details are included below for your reference. If the conference chooses to stamp the papers this will be in addition to the markings provided by the IEEE Publishing Operations team:
    • For papers in which all authors are employed by the US government: U.S. Government work is not protected by U.S. copyright
    • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia): 979-8-3195-1266-6/26/$31.00 ©2026 Crown
    • For papers in which all authors are employed by the European Union: 979-8-3195-1266-6/26/$31.00 ©2026 European Union

Preparing Camera-Ready Submission via IEEE PDF eXpress

Before creating your PDF: Proofread your source document thoroughly.

Creating your IEEE PDF eXpress Account:

  1. Visit the IEEE PDF eXpress™ site: https://ieee-pdf-express.org/account/Login
  2. First-time users select the New Users link and enter:
    • Conference ID: 71800X (Kindly add X)
    • Your Email Address
    • A Password
  3. Continue following the on-screen prompts.
  4. You'll receive online and email confirmation after setup.
  5. After "File has been converted successfully", download the PDF from the "Action" Tab in the Dashboard.
  6. Download the PDF file of your paper from PDF eXpress Plus website and upload it via the CMT Portal for Camera Ready Paper Submission of ICAESIS-2026 at https://cmt3.research.microsoft.com/ICAESIS2026

Previous users can reuse their existing password but must verify contact details.

Procedure for IEEE Copyright Form (eCF) Submission

To publish in IEEE Xplore, it is mandatory to transfer the copyright to IEEE.

Process:

  1. Log in to your CMT Submission Portal.
  2. Click the IEEE Copyright link.
  3. You'll be redirected to the IEEE eCF portal.
  4. Follow steps 1–5 to complete the transfer.
  5. Download the completed Copyright Form (.pdf).
  6. Upload it back to your Microsoft CMT account under the corresponding paper.
👉 Important Note: A separate copyright transfer is required for each paper.
